This policy explains what LaTeX Equation Editor collects, why we use it, and how we protect

What account and usage data does LaTeX Equation Editor collect?
Microsoft provides your work email address when you sign in. We use it to identify your
account, verify trial and license access, and provide support.
We store:
Your work email address and Office display language
The date LaTeX Equation Editor created your account
Your first and most recent usage dates and number of equations rendered
Your trial or license status
Organization administrators can provide work email addresses to assign licenses. We store
those addresses with the license assignments.
How does LaTeX Equation Editor process equation text?
LaTeX Equation Editor sends the equation text you enter or select directly to CodeCogs over
HTTPS. CodeCogs returns the rendered equation image, and the add-in inserts that image into
your Office file. The Word bulk-render command follows the same process for each equation
enclosed by $$ markers.
CodeCogs receives the equation text and standard web-request data such as your IP address
and browser information. Our application servers do not receive or store your Office file.
Why does LaTeX Equation Editor need Office document access?
LaTeX Equation Editor uses Office access to:
Read equation text that you select
Find equations enclosed by $$ markers when you start a Word bulk render
Insert or replace rendered equation images
What diagnostic and support data does LaTeX Equation Editor collect?
When LaTeX Equation Editor encounters an error, Sentry receives a diagnostic event so we can
investigate and fix the problem. The event includes:
Your work email address
The browser, operating system, app version, and add-in page where the error occurred
The error message and recent technical events
A CodeCogs request URL, including its encoded equation text, when that request relates to
the error
We also process the information that users choose to send when they contact support.
Do you sell personal information or use it for marketing?
No. We do not sell personal information or disclose it to third parties for advertising or
marketing.
Which services process LaTeX Equation Editor data, and where?
CodeCogs processes equation text to create each rendered image.
Google Cloud Firestore stores account, licensing, and usage data in United States data
centers.
Sentry stores diagnostic events in United States data centers.
Office stores your files in the location that you or your organization selected. Our
servers do not store those files.

How do you protect LaTeX Equation Editor data?
LaTeX Equation Editor sends account, equation-rendering, and diagnostic data over encrypted
HTTPS connections. Google Cloud encrypts stored data, and Firestore security rules prevent
public access.
We limit access to our Google Cloud and Sentry projects to authorized personnel who need the
data to operate the product, respond to support requests, or comply with legal obligations.
How long do you keep LaTeX Equation Editor data?
We retain account, usage, and license records until you request deletion.
We retain diagnostic events only as long as needed to investigate errors and maintain the
product.
We retain aggregated signup and usage totals that contain no email addresses or other
identifiers.
How can I access, correct, or delete my data?
Email product@1990quebec.com from the work email you use with LaTeX Equation Editor. We will
verify the request and delete the records linked to your work email within 30 days.
How will you communicate policy changes?
We post each revision on this page and update the effective date below.
